Important Information

Booking Appointments

Appointments are made available each weekday at 8:45am. Please note that we do not accept Walk-In nurse or GP appointments at this time. For SA Pathology related services, please book an appointment with our nursing staff. Phone the clinic at 8:45am to book an appointment for the same day.

The majority of appointments are reserved for booking on the day, to ensure you can see a doctor on the day that you are unwell. Using this system is helping us to avoid the excessive wait for a GP (sometimes up to 6 weeks) experienced in other areas of rural SA.

These appointments are released on the day and available to callers from 8:45 am each morning.

We do our best to ensure consistent availability each day, however in periods of high demand we do run short of appointments – if this is the case, our receptionist may ask for some information about your medical condition and seek advice from a doctor or nurse as to how urgently you should be seen.

If you are continually having difficulty getting an appointment, please ask to speak to the Practice Manager.

A limited number of appointments are available each day for booking ahead, for patient convenience some planning is usually required to take advantage of book ahead appointments, as they may be booked out 1-2 weeks in advance

The following appointments are also booked in advance:

  • Review and results appointments directed by the doctor
  • Practice Nurse appointments
  • Chronic disease care
  • Care plans and preventative health checks
  • Patients who need to arrange transport
  • Antenatal appointments
  • Postnatal checks
  • Insurance and pre-employment medicals

Medical Students

We regularly support medical students from Flinders University who wish to undertake clinical placement on Kangaroo Island.  Please let us know if you do not wish to have a student present during your consult.

Interpreter

For patients of foreign background and ethnicity, who do not speak English or who are more proficient in another language, our staff can arrange to utilise the free Translating and Interpreter Service (TIS).

Follow-up of Results

If you are required to have pathology or other tests taken, you will need to phone the clinic to obtain your results – please do not assume that no contact from KI Medical Clinic following a test or investigation means a normal result.  For most standard tests, the results will be available within 72 hours; please contact the clinic on 08 8553 2037 and ask to speak to the results desk to obtain your results.

Recall System

You will be automatically enrolled in our HotDoc recall/reminder system, which means you may receive reminders by post, telephone call or sms.  Please advise us if you would prefer not to be contacted regarding preventative health reminders.

Your Rights

If you have a problem, we would like to hear about it.  Please feel free to talk to your doctor or contact the Practice Manager by phone, or email. Alternatively, feedback forms are available in the waiting room.  This practice has a protocol for the handling of complaints, and you can be assured that your complaint will be dealt with in a sincere and professional manner. Should you feel that your complaint has not been dealt with satisfactorily you may direct your concerns to the Health and Community Services Complaints Commissioner (HCSCC). Call 1800 232 007 between 9am and 5pm, Monday to Friday or visit their website using the link above, and select the option that is best for you.

Communications Policy

TELEPHONE COMMUNICATIONS

During business hours 8:45am – 4:45pm, we aim to answer calls as promptly as possible. Telephone is our primary method of contacting patients. When you call, you will hear our automated greeting before being connected to a staff member. If we are unable to assist you immediately with routine or non-urgent enquiries, we will return your call as soon as possible—usually within two business days.

Urgent messages are prioritised and actioned on the same day. All clinically relevant phone conversations are documented in your medical record. Please note: After 4:45 pm, our phones are switched off. If you call during this time, an automated message will advise that our phones are closed, when to call back, and to dial 000 in an emergency.

 EMAIL COMMUNICATIONS

Kangaroo Island Medical Clinic provides an automatic response to confirm that emails will be addressed within two business days. Our designated inbox is monitored regularly throughout the day. Administrative staff review incoming emails, verify details, and forward them to the appropriate clinician or team.

Please note that email is not a fully secure method of communication. For this reason, email should only be used for administrative matters unless you have provided explicit consent for clinical communication. If consent is given, it will be recorded in your medical file.
